Privacy Policy
This Privacy Policy explains how Prospect Athlete, operated by Ranch Sports Digital LLC ("we," "us," or "our"), collects, uses, stores, and protects information when you use our mobile application and related services (the "App"). By using the App, you agree to the practices described in this policy.
1. Information We Collect
1.1 Information You Provide Directly
- Email address (used to create and access your account)
- Player profile: sport, position, graduation year, state/region, division target, handedness
- Academic profile: GPA (unweighted and/or weighted), SAT/ACT scores, core course count — all optional
- Athletic metrics: performance data you enter, including source (PBR, Perfect Game, GameChanger, self-reported, coach-measured) and date
- Coach outreach log: names, email addresses, contact dates, and notes related to coaches you choose to contact through the App
- Player name (optional — used for display within the App only)
1.2 Information Collected Automatically
- Basic usage data such as screens viewed and features used, collected to improve the App
- Device type and operating system version
- We do not collect precise GPS location, biometric data, or health records
1.3 Information We Do Not Collect
- We do not collect your home address, phone number, or government ID
- We do not collect or store credit card or bank account information — all payments are processed by Apple
- We do not access your contacts, camera, microphone, or photo library unless you explicitly grant permission for a specific feature
2. How We Use Your Information
We use the information we collect to:
- Create and maintain your account
- Provide personalized school match recommendations, recruiting timeline content, and division projections based on your profile
- Display coaching staff contact information for schools you are researching
- Track your coach outreach activity within the App
- Process subscriptions, if you choose to purchase one in the future (through Apple)
- Send transactional communications (e.g., account confirmation, password reset)
- Improve the App's features and content
- Create aggregated, de-identified statistics — such as age-group percentiles, division benchmarks, and performance scoring models — that do not identify any individual athlete
- Comply with legal obligations
We do not sell your personal information to third parties. We do not use your information for targeted advertising. Aggregated or de-identified data is not personal information and may be retained and used after account deletion; we never publish or share data in a form that identifies you without your consent.
3. How We Share Your Information
3.1 Service Providers
We use the following third-party services to operate the App. These providers process your data only on our behalf and under our instructions:
- Supabase — database, authentication, and storage
- Apple App Store — subscription billing and app distribution
- Expo / EAS — app build and over-the-air updates (no personal data shared)
- Google — Sign in with Google, where you choose it (we receive your name and email address)
- PostHog — product analytics: which screens are opened and which features are used, so we can improve the App. We do not send your metrics, academic information, or messages to PostHog.
- Anthropic (Claude) — AI processing for two optional features. Neither runs unless you start it.
- Player Analysis sends: your first name, position(s), graduation year, state, division target, high school and club team, height and weight, your GPA and any SAT/ACT scores, a summary of your performance metrics, how many training sessions you have logged, and up to 100 of your daily question answers (including anything you typed in your own words).
- AI Social Media Audit sends: the screenshots you upload — which normally show your username, profile photo, bio and posts — plus your sport, position, graduation year and state, and any text you paste in.
This includes information that can identify you. Your first name together with your high school and graduation year can identify a specific athlete, and a screenshot of your social profile identifies you directly. We do not send your last name, email address, phone number, date of birth, or account identifiers.
Anthropic processes this only to return your result. Under its commercial API terms it does not use the data to train its models. We never store the screenshots — they are passed through and discarded. Only the finished written analysis is saved to your account.
3.2 College Coaches (Coach Portal)
We operate a separate, invitation-only portal where college coaches we have manually verified can view athlete profiles. Your profile is not visible there unless all of the following are true:
- You have turned on "Make my profile discoverable to coaches" in your profile settings. This is off by default.
- You are 16 or older. Athletes under 16 are never returned to coaches, regardless of the setting above.
When those conditions are met, a verified coach can see: your first name and last initial only, state, graduation year, position(s), division target, high school and club team, your performance metrics (including whether each was verified and its source), your unweighted GPA, how many training sessions you have logged, and — only if you have generated and approved one — your Player Analysis and your "In My Own Words" note.
Some things are deliberately withheld: coaches never see your full last name, your email address, your phone number, your recruiting readiness score, or the private "areas to develop" half of your Player Analysis. Links to your external recruiting profiles (Perfect Game, PBR, GameChanger and similar) are shared only if you separately opt in, because those pages can reveal your full identity and contact details.
Every time a coach views your profile we record it. You can turn discoverability off at any time in your profile settings, which removes you from the portal going forward.
3.3 Legal Disclosure
We may disclose your information if required by law, court order, or government authority, or to protect the rights, safety, or property of our users or the public.
3.4 Business Transfers
If Ranch Sports Digital LLC is acquired, merged, or its assets are transferred, your information may be transferred to the successor entity. We will notify you of any such change via the email address on your account.
4. Children's Privacy
Account holders must be 13 or older — a child under 13 can never create or sign in to an account of their own. Athletes under 13 are supported only through parent-managed profiles: a parent or guardian creates the account, owns the login, and manages all information about their athlete. Creating a parent-managed profile is how the parent provides verifiable consent for us to store their child's information (name, birth month and year, sport, performance metrics, and school interests) on the child's behalf. The child gains a login of their own only when a parent invites them into the profile on or after their 13th birthday. Parents can review, edit, or permanently delete a managed profile at any time from the Profile tab, and can reach us at Admin@ranchsportsdigital.com with any questions. If we learn we hold information about a child under 13 that was not provided through a parent-managed profile, we will delete it promptly.
5. Data Retention
We retain your account and profile data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes. Coach outreach log data is retained as part of your account and is deleted when your account is deleted.
6. Data Security
We use industry-standard security practices to protect your information, including encrypted connections (TLS), secure database storage via Supabase (SOC 2 Type II certified), and role-based access controls. No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data and will notify you promptly in the event of a breach affecting your information, as required by applicable law.
7. Your Rights & Choices
7.1 Access & Correction
You may update your profile and account information at any time within the App. To request a copy of the data we hold about you, contact us at Admin@ranchsportsdigital.com.
7.2 Deletion
You may delete your account at any time from within the App — tap the profile icon, then choose Delete Account. Upon deletion, your personal data will be removed from our systems within 30 days.
7.3 California Residents (CCPA)
If you are a California resident, you have the right to: know what personal information we collect and how it is used; request deletion of your personal information; opt out of the sale of your personal information (we do not sell your data); and not be discriminated against for exercising your rights. To exercise these rights, contact us at Admin@ranchsportsdigital.com. We will respond within 45 days as required by law.
8. Affiliate Disclosure
The App's Gear section contains links to Baseline Sports (baselinesports.us). We have an affiliate relationship with Baseline Sports and may earn a commission on purchases made through these links at no additional cost to you. This is disclosed in the App's Gear section.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy in the App and updating the effective date above. Your continued use of the App after changes are posted constitutes acceptance of the updated policy.
