Privacy Policy
This Privacy Policy explains how Ranch Sports Digital LLC ("we," "us," or "our") collects, uses, stores, and protects information when you use our mobile applications and related services: Prospect Athlete (recruiting) and Prospect Metrics (combine events). Each is referred to as an "App." The two Apps share one sign-in, so a single account can be used for both.
How to read this policy: Sections 1–3 describe Prospect Athlete. Section 4 describes Prospect Metrics and is the section that applies if you attend a combine event. Sections 5–11 (children's privacy, retention, security, your rights, and contact) apply to both Apps. By using either App, you agree to the practices described in this policy.
1. Information We Collect
1.1 Information You Provide Directly
- Email address (used to create and access your account)
- Player profile: sport, position, graduation year, state/region, division target, handedness
- Academic profile: GPA (unweighted and/or weighted), SAT/ACT scores, core course count, and your NCAA Eligibility Center ID if you choose to save it — all optional
- Your NCAA Eligibility Center ID is stored only so the App can include it in coach emails you choose to send — that is how a coach looks you up in the NCAA's system. It is never sent to our analytics provider or to any AI provider.
- Athletic metrics: performance data you enter, including source (PBR, Perfect Game, GameChanger, self-reported, coach-measured) and date
- Coach outreach log: names, email addresses, contact dates, and notes related to coaches you choose to contact through the App
- Player name (optional — used for display within the App only)
- Recruiting board information: if your high school or club coach keeps a team recruiting board, they may record information about you there, including measurements they took themselves — see "High School & Club Coaches (Recruiting Board)" below
1.2 Information Collected Automatically
- Basic usage data such as screens viewed and features used, collected to improve the App
- Device type and operating system version
- We do not collect precise GPS location, biometric data, or health records
1.3 Information We Do Not Collect
- We do not collect your home address, phone number, or government ID
- We do not collect or store credit card or bank account information — all payments are processed by Apple
- We do not access your contacts, camera, microphone, or photo library unless you explicitly grant permission for a specific feature
2. How We Use Your Information
We use the information we collect to:
- Create and maintain your account
- Provide personalized school match recommendations, recruiting timeline content, and division projections based on your profile
- Display coaching staff contact information for schools you are researching
- Track your coach outreach activity within the App
- Process subscriptions, if you choose to purchase one in the future (through Apple)
- Send transactional communications (e.g., account confirmation, password reset)
- Improve the App's features and content
- Create aggregated, de-identified statistics — such as age-group percentiles, division benchmarks, and performance scoring models — that do not identify any individual athlete
- Comply with legal obligations
We do not sell your personal information to third parties. We do not use your information for targeted advertising. Aggregated or de-identified data is not personal information and may be retained and used after account deletion; we never publish or share data in a form that identifies you without your consent.
3. How We Share Your Information
3.1 Service Providers
We use the following third-party services to operate the App. These providers process your data only on our behalf and under our instructions:
- Supabase — database, authentication, and storage
- Apple App Store — subscription billing and app distribution
- Expo / EAS — app build and over-the-air updates (no personal data shared)
- Google — Sign in with Google, where you choose it (we receive your name and email address)
- PostHog — product analytics: which screens are opened and which features are used, so we can improve the App. We do not send your metrics, academic information, or messages to PostHog.
- RevenueCat — subscription and purchase management. It runs only if you buy or restore a subscription, and receives an app user ID and your purchase status from Apple. It receives no athletic, academic or contact information. It is not active while the App is free.
- Anthropic (Claude) — AI processing for two optional features. Neither runs unless you start it.
- Player Analysis sends: your first name, position(s), graduation year, state, division target, high school and club team, height and weight, your GPA and any SAT/ACT scores, a summary of your performance metrics, how many training sessions you have logged, and up to 100 of your daily question answers (including anything you typed in your own words).
- AI Social Media Audit sends: the screenshots you upload — which normally show your username, profile photo, bio and posts — plus your sport, position, graduation year and state, and any text you paste in.
This includes information that can identify you. Your first name together with your high school and graduation year can identify a specific athlete, and a screenshot of your social profile identifies you directly. We do not send your last name, email address, phone number, date of birth, or account identifiers.
Anthropic processes this only to return your result. Under its commercial API terms it does not use the data to train its models. We never store the screenshots — they are passed through and discarded. Only the finished written analysis is saved to your account.
3.2 College Coaches (Coach Portal)
We operate a separate, invitation-only portal where college coaches we have manually verified can view athlete profiles. Your profile is not visible there unless all of the following are true:
- You have turned on "Make my profile discoverable to coaches" in your profile settings. This is off by default.
- You are 16 or older. Athletes under 16 are never returned to coaches, regardless of the setting above.
When those conditions are met, a verified coach can see: your first name and last initial only, state, graduation year, position(s), division target, high school and club team, your performance metrics (including whether each was verified and its source), your unweighted GPA, how many training sessions you have logged, and — only if you have generated and approved one — your Player Analysis and your "In My Own Words" note.
Some things are deliberately withheld: coaches never see your full last name, your email address, your phone number, your recruiting readiness score, or the private "areas to develop" half of your Player Analysis. Links to your external recruiting profiles (Perfect Game, PBR, GameChanger and similar) are shared only if you separately opt in, because those pages can reveal your full identity and contact details.
Every time a coach views your profile we record it. You can turn discoverability off at any time in your profile settings, which removes you from the portal going forward.
3.3 High School & Club Coaches (Recruiting Board)
Separately from the college coach portal above, a high school or club coach can keep a private recruiting board for their own team. On that board a coach may record an athlete's name, graduation year, position, athletic measurements the coach took, academic information (GPA, SAT/ACT), where the athlete is in the recruiting process, the colleges the athlete is targeting, and notes about contact with college programs. Coaches can type this information in themselves — an athlete does not need a Prospect Athlete account to appear on a coach's board.
Your Prospect Athlete profile is connected to a coach's board only when you — or your parent, on a parent-managed profile — generate a connection code in the App and hand it to that coach. There is no way for a coach to connect to your profile without that code. A code expires 30 minutes after you create it, only one code is active at a time, and generating a new one cancels the previous one.
This connection is available at any age. The 16-and-older rule in section 3.2 above does not apply here, because this coach is your own high school or club coach — someone who already works with you — rather than a college recruiter discovering you. The two are different features and the restrictions on one do not carry over to the other.
Once you are connected, the coaches on that team can see your athletic measurements and your academic information (GPA, SAT/ACT). Information also comes back to you: measurements your coach recorded are added to your own metric history in the App, labeled "Coach-measured," and they count toward your recruiting readiness score and division projection the same way measurements you enter yourself do.
You or your parent can disconnect at any time from the Profile screen in the App. Disconnecting removes coach access going forward — across every team you are linked to, not just one — and immediately cancels any connection code you generated that has not been used yet. Measurements already added to your history stay there; they are measurements of you. We also keep the record that the connection was made, as the record of consent.
A coach's board is private to that coaching staff. It is not visible to college coaches and is not part of the college coach portal described in section 3.2.
3.4 Legal Disclosure
We may disclose your information if required by law, court order, or government authority, or to protect the rights, safety, or property of our users or the public.
3.5 Business Transfers
If Ranch Sports Digital LLC is acquired, merged, or its assets are transferred, your information may be transferred to the successor entity. We will notify you of any such change via the email address on your account.
4. Prospect Metrics (Combine Events)
Prospect Metrics is our free combine app. Event operators run a combine; athletes register, get measured on the field, and see their own verified results. This section describes that App specifically. Sections 5–11 below also apply to it.
4.1 Information You Provide
- Email address (used to create and access your account)
- Athlete profile: first and last name, date of birth, sport, position(s), graduation year, height and weight, batting/throwing handedness, and optionally city, state, high school, and club team
- Date of birth is required because results are compared against athletes of the same age and grade — that comparison is the point of the score
4.2 Information Created at an Event
- Combine results measured by event staff — for example 60-yard dash, home-to-first split, exit velocity, throwing velocity, pitch velocity and spin, bat speed, vertical and broad jump, agility, height and weight — including each attempt and the equipment used to measure it (for example laser timing, HitTrax, Pocket Radar, Blast)
- Which events you registered for and whether you checked in
- A Prospect Score and percentile we calculate from your results and your age/grade group
4.3 Location
If you allow location access, Prospect Metrics uses your device location only to show combine events near you and how far away they are. Your location is used on your device and is never stored on our servers, transmitted to us, or shared with anyone. You can decline location access and still use the App — events are simply not sorted by distance.
4.4 Who Can See Your Results
- You can always see your own results, history, and score.
- The event operator who ran the combine you registered for can see your profile and the results measured at their event, and can export them or email them to you. Operators cannot see results from other operators' events.
- Anyone with a share link, only if you create one. You may generate a shareable results page to send to a coach. That link is public to anyone who has it. You can turn sharing off at any time from your profile, which immediately disables the link.
- We do not sell your data, and we do not make your results publicly searchable.
4.5 Service Providers
- Supabase — database, authentication, and file storage (SOC 2 Type II certified)
- Resend — sends account emails and the results email you receive after an event
- Expo — app delivery and over-the-air updates
- Open-Meteo — looks up the city name you type when an operator creates an event, and the temperature on the event date, so results carry their conditions. No personal information is sent.
- Prospect Metrics does not use analytics or advertising SDKs, and does not track you across apps or websites.
4.6 Shared Sign-In with Prospect Athlete
Prospect Metrics and Prospect Athlete share one login, so you can use the same email and password for both. Your profiles are separate: creating a combine profile does not create a recruiting profile, and vice versa. If you choose to use both Apps, your combine results may be carried into your Prospect Athlete profile so you do not have to re-enter them.
If you delete your account from within Prospect Metrics, we permanently delete your combine profile, all of your results, your event registrations, and any share links you created. Because the sign-in is shared, the login itself is deleted only if you do not also have a Prospect Athlete profile — otherwise that account remains so we do not delete data you did not ask us to delete. The confirmation screen tells you which will happen before you confirm.
5. Children's Privacy
5.1 Prospect Athlete
Account holders must be 13 or older — a child under 13 can never create or sign in to an account of their own. Athletes under 13 are supported only through parent-managed profiles: a parent or guardian creates the account, owns the login, and manages all information about their athlete. Creating a parent-managed profile is how the parent provides verifiable consent for us to store their child's information (name, birth month and year, sport, performance metrics, and school interests) on the child's behalf. The child gains a login of their own only when a parent invites them into the profile on or after their 13th birthday. Parents can review, edit, or permanently delete a managed profile at any time from the Profile tab, and can reach us at Admin@ranchsportsdigital.com with any questions. If we learn we hold information about a child under 13 that was not provided through a parent-managed profile, we will delete it promptly.
5.2 Prospect Metrics
The same rule applies: a child under 13 can never create or sign in to an account of their own. The App requires a birthdate at sign-up and will not let anyone under 13 create their own profile.
Younger athletes do attend combines, so an athlete under 13 may be registered only by event staff at the event itself, and only using a parent or guardian's email address. That account belongs to the parent or guardian: the confirmation is given in person at check-in, the account emails go to the parent, and the parent controls the login. This is how the parent provides verifiable consent for us to store their child's information (name, date of birth, sport, and the results measured at the event).
A parent or guardian can review, correct, or permanently delete their child's profile and all associated results at any time from within the App (Profile › Delete my account), or by contacting us at Admin@ranchsportsdigital.com. Share links are off by default and must be created deliberately. If we learn we hold information about a child under 13 that was not provided through a parent or guardian in this way, we will delete it promptly.
6. Data Retention
We retain your account and profile data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes. Coach outreach log data is retained as part of your account and is deleted when your account is deleted.
7. Data Security
We use industry-standard security practices to protect your information, including encrypted connections (TLS), secure database storage via Supabase (SOC 2 Type II certified), and role-based access controls. No method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data and will notify you promptly in the event of a breach affecting your information, as required by applicable law.
8. Your Rights & Choices
8.1 Access & Correction
You may update your profile and account information at any time within the App. To request a copy of the data we hold about you, contact us at Admin@ranchsportsdigital.com.
8.2 Deletion
You may delete your account at any time from within the App — tap the profile icon, then choose Delete Account. Upon deletion, your personal data will be removed from our systems within 30 days.
8.3 California Residents (CCPA)
If you are a California resident, you have the right to: know what personal information we collect and how it is used; request deletion of your personal information; opt out of the sale of your personal information (we do not sell your data); and not be discriminated against for exercising your rights. To exercise these rights, contact us at Admin@ranchsportsdigital.com. We will respond within 45 days as required by law.
9. Affiliate Disclosure
The App's Gear section contains links to Baseline Sports (baselinesports.us). We have an affiliate relationship with Baseline Sports and may earn a commission on purchases made through these links at no additional cost to you. This is disclosed in the App's Gear section.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy in the App and updating the effective date above. Your continued use of the App after changes are posted constitutes acceptance of the updated policy.
